Define the operating requirement before requesting prices

Commercial snow contracts become difficult to compare when each bidder assumes a different scope. A stronger RFP describes the site, operating hours, priority areas, trigger rules and documentation expectations before price is requested.

  • Site maps and approximate service areas
  • Parking, fire routes, loading docks and waste areas
  • Sidewalks, stairs, ramps and entrances
  • Opening hours and critical access times
  • Snow-storage and hauling constraints
  • Ice-control expectations
  • Communication and escalation contacts

Specify storm operations

State whether the site requires continuous service during prolonged snow, a target completion window after snowfall, or both. Explain how repeat passes, windrows, drifting and freezing rain should be handled.

Ask for evidence, not marketing language

Request proof of insurance, equipment capacity, backup plans, subcontracting disclosures if relevant, service logs and a deficiency process. For multi-site portfolios, ask how dispatch and reporting are coordinated across locations.
